How to: Virtual Terminal

Virtual Terminal is a tool you can use to process donations on behalf of donors. This can be helpful if a donor calls and wants to make a donation over the phone. 

How to Process a Donation Using the Virtual Terminal

Access the Virtual Terminal

  1. Click the gear icon MBGiving-GearIcon.png at the top-right corner.
  2. Click Virtual Terminal.

Complete the Virtual Terminal Form

  1. Select the Location (if applicable).
  2. Choose the Fund where the donation should be applied.
  3. Enter the gift Amount.
  4. (Optional) Click the Add Designation button if the donor wants to contribute to multiple funds.
  5. (Optional) Add Comments, if necessary.
  6. (Optional) Check the Recurring Transaction box if the donor wants to set up a recurring gift.
  7. Enter the donor's Contact Information (or click the Select Existing Donor button if the donor is already in your system).

📌 The Existing Donors list shows donors who have made a transaction in the past year. You can search for a donor instead of manually entering their information.

Enter Payment Details and Process the Gift

  1. Select a Payment Method
    • Choose Credit/Debit Card or ACH/Bank from the dropdown menu.
    • If using ACH/Bank, select Checking or Savings and enter the Routing and Account Numbers

  2. (Optional) Check Save to Donor Payment Profile to store the payment method for future use.

  3. Enter Payment Information:

    • For Credit/Debit Cards: Provide the Card TypeCard NumberName on CardExpiration Date, and Card Code.
    • For ACH/Bank Transfers: Provide the Routing Number and Account Number.

  4. Click Process Transaction to complete the donation.
    • For Credit/Debit and ACH/Bank transactions, this will initiate a payment from the donor's financial institution.

📌 The donor will receive a confirmation email using the customized email template you created.

Important Notes

Security: Your givers’ payment information is always fully secure. Only the last four digits of their existing payment profiles are visible.

Declined Payments: If the Payment Profile is updated due to a declined payment, once the new Payment Profile is saved, the declined transaction will automatically be reprocessed.
